About the Role

We are helping Noble Nutrition recruit a highly capable Executive Assistant to support two fast-growing U.S.-based startups—one in home services, the other in mortgage tech. This is an exciting opportunity for a bilingual, organized, and tech-savvy professional looking to make a meaningful impact in a dynamic, remote-first environment.

You’ll play a vital role in driving operations, supporting client engagement, and ensuring smooth day-to-day activities—all while contributing to the long-term growth of both ventures.

Key Responsibilities

1. Administrative Operations & Workflow Support

  • Manage digital records and internal trackers

  • Maintain CRMs and support onboarding processes

  • Oversee inbox management, meeting scheduling, and documentation

  • Prepare and follow up on interviews, tasks, and milestones

2. Client Engagement & Outreach

  • Engage in targeted Facebook groups and other online communities

  • Track leads, respond to inquiries, and escalate as needed

  • Support referral tracking, list-building, and outreach reporting

3. Team Coordination & Support

  • Participate in weekly team syncs via Slack or Zoom

  • Collaborate with the Ops Manager and other virtual team members

  • Assist with onboarding clients, contractors, or support staff

  • Help enforce timelines and ensure deliverables are met


What We’re Looking For

Ideal Candidate Profile:

  • Bilingual fluency in Spanish and English (C1 level or higher)

  • Detail-oriented and highly organized

  • Excellent communication skills across Slack, email, and Zoom

  • Independent, proactive, and able to manage multiple priorities

  • Previous experience with inbox/calendar management, project tracking, or remote operations

  • Familiarity with tools such as Google Workspace, Slack, Zoom, Asana, Notion, Calendly, or GoHighLevel (GHL)

  • Available 5 days a week with 3–4 hours of overlap with U.S. Mountain Standard Time (MST/Arizona)


Additional Requirements

  • Strong sense of discretion—handling sensitive client and financial data

  • Demonstrated ability to work independently and with minimal supervision

  • Comfortable adapting in fast-paced, evolving startup environments
